Digital APS India 2026: New 3-Week Processing for German Visas
The end of the 6-month wait. By mid-2026, APS India (Akademische Prüfstelle) has moved to a fully digital verification system: no physical document couriers and processing times down from 4–6 months to about 3–4 weeks for most applicants.
Below: how the digital process works, using DigiLocker for faster verification, step-by-step application steps, how to avoid common upload rejections, and how to use your QR-coded digital certificate for the German student visa.
What this means for you
Apply only via the official aps-india.de portal—no paper, no third‑party “express” agencies. Scan documents at 300 DPI in PDF/A, under 5 MB each; link DigiLocker if your university is on it for quicker verification. You still take originals to the embassy for the visa interview. Confirm current process and fees on aps-india.de before you apply.
What Is APS India?
APS (Akademische Prüfstelle) is the Academic Evaluation Centre that checks Indian students’ academic credentials for German universities and visa applications. It’s mandatory for Indian students applying to study in Germany. German universities and the embassy need verified documents; APS confirms that Indian degrees and mark sheets are genuine and meet German standards.
The Digital Shift: From Paper Backlog to 3–4 Weeks
Before 2026: Applications took 4–6 months. You sent documents by courier (₹2,000–5,000), risked loss in transit, and had little or no online tracking. A large paper backlog built up.
From 2026: The digital system cuts processing to about 3–4 weeks. You upload documents online—no courier. DigiLocker integration allows instant verification with many universities. You get a QR-coded digital certificate, can track status in the portal, and re-upload if something is rejected instead of resending by post.

How the Digital Process Works (2026)
1. Register. Use only the official APS India portal (aps-india.de). Create your account there. Ignore agencies that promise “express” digital APS—they are not the official channel.
2. DigiLocker (recommended). If your university has uploaded your degree to DigiLocker, link your DigiLocker account in the APS portal and allow APS to access the documents. That can make verification much faster. Set up or open your DigiLocker account, link it in the APS portal, and authorize access.
3. Upload documents. Upload degree certificates, all mark sheets, 10th and 12th certificates, passport copy, passport-size photo, and any other required papers. Use PDF/A, at least 300 DPI, max 5 MB per file, clear and complete; colour scans are preferred. One document per file, no password protection.
4. Pay. Payment is inside the portal (around ₹18,000 INR—confirm on aps-india.de). Card, net banking, UPI, or other methods as shown.
5. Verification. With DigiLocker linked, verification can be very fast. Otherwise APS verifies with your university (still faster than the old manual process).
6. E-certificate. You receive a digital certificate with a QR code and digital signature. Download it from the portal as PDF. Universities and the embassy can verify it online. Use it in the Consular Services Portal for your student visa—and bring originals to the embassy interview.
Step-by-Step Summary
- Prepare scans (300 DPI, PDF/A, <5 MB each). Set up DigiLocker if possible.
- Register on aps-india.de and complete your profile.
- Link DigiLocker in the portal if your documents are there.
- Upload all required documents; check quality and format.
- Pay the fee (e.g. ₹18,000; confirm on site).
- Submit the application and note your application number.
- Track status in the portal; respond quickly to any rejection or request.
- Download the e-certificate, check the QR code, and upload it to the Consular Services Portal when you apply for your visa. Keep originals for the embassy.
Common Upload Errors to Avoid
Rejections often come from format or quality. Use this checklist:
| Issue |
Fix |
| Below 300 DPI |
Rescan at 300 DPI minimum |
| Not PDF/A |
Convert to PDF/A (archival PDF) |
| File >5 MB |
Compress while keeping 300 DPI |
| Blurry or incomplete |
Rescan so all text is readable |
| Grayscale instead of colour |
Use colour scan |
| Missing pages or cut-off text |
Include full document, correct orientation |
| Several docs in one file |
One document per file |
| Password-protected PDF |
Remove password before upload |
| Corrupted file |
Rescan and create a new PDF |
Check before upload: 300 DPI, PDF/A, under 5 MB, clear and complete, colour, one doc per file, no password, correct orientation.
Required Documents
Essential: Final degree certificate (Bachelor’s/Master’s or equivalent); all semester/year mark sheets; 10th and 12th certificates; valid passport (first and last pages); recent passport-size photo.
If applicable: Gap certificates, work experience, language certificates, other academic documents.
Paper Applications
As of mid-2026, paper applications are no longer accepted. All applications go through the online portal. Even though the APS certificate is digital, the German Embassy still checks originals at the visa interview—bring all original documents to the appointment.
Processing Time (2026)
Rough timeline: submission (1 day), payment verification (1–2 days), document verification (about 2–3 weeks, or much faster with DigiLocker), certificate generation (1–2 days). Total often 3–4 weeks. Delays can come from poor document quality, slow university response when verification is manual, or high application volume. Apply at least two months before your university deadline.
Tracking and Rejections
Track your application in the APS portal. You’ll see status updates and get emails when something changes. If documents are rejected, the portal will state the reason. Fix the problem (rescan, reformat, etc.), re-upload—no extra fee for re-upload within reason—and the process continues from there.
Using Your Digital APS Certificate
Universities: Upload the QR-coded digital certificate to university portals (e.g. Uni-Assist or direct applications).
Visa: Upload the same certificate in the Consular Services Portal when you apply for your German student visa. At the embassy interview, bring originals for physical verification.
Technical Needs
Stable internet, an up-to-date browser (Chrome, Firefox, or Safari), a scanner that can do 300 DPI, and enough storage for your files. Use the portal’s help/FAQ, official email, or phone support if you run into technical issues.
Cost (2026)
APS fee is around ₹18,000 INR (confirm on aps-india.de). In the digital system you avoid courier (₹2,000–5,000) and most scanning costs if you scan at home. Total typically around ₹18,000–18,500 instead of ₹20,500–24,000 before.
